How to allow employees to join a waitlist

The waitlist feature in Ronspot allows employees to queue for a space when a zone is fully booked.

1. Enable waitlist by user

Step 1: Navigate to 'Employees'

Step 2: Locate the 'Waitlist' column

  • Find the column named Waitlist in the employee table.

Step 3: Enable waitlist access

    • Toggle the switch to Yes to allow the employee to join a waitlist when no spaces are available in their preferred zone.
      • If enabled: The employee will see the option to join a waitlist instead of an unavailable icon when a zone is fully booked. They will move up the list as spots are released until they reach the first position and are automatically assigned a spot.
      • If disabled: The employee will not have the option to join the waitlist.

    If the toggle is disabled, it may be because the employee is part of a group that needs adjustments in Group settings (see the next section).

     

    2. Enable waitlist in bulk (group settings)

    Step 1: Navigate to 'Group settings'

    • Go to the admin panel.
    • Navigate to Users > Group settings.

    Step 2: Edit a group

    • Locate the group you want to modify and click on the pencil icon to edit the group.

    Step 3: Enable waitlist access

    • Set the Join the waitlist option to Yes.
      • If enabled: All employees in this group will be able to join the waitlist when no spaces are available, just like individual employees. They will move up the list and be automatically assigned a spot once they reach the first position.
    • Click on Save to apply the changes.

    3. Show/hide waitlist position to users

    Step 1: Navigate to 'Zones and maps'

    • Go to the admin panel.
    • Navigate to Spaces > Zones and maps.

    Step 2: Edit a zone

    • Select the zone you want to configure and click on the zone name or pencil icon.

    Step 3: Access the 'Display' tab

    • In the zone settings, go to the Display tab.

    Step 4: Set 'Show waitlist position'

    • Configure the Show waitlist position option:
      • Yes: Users will be able to see their position in the waitlist.
      • No: Users will know they are in the queue, but no further details will be provided about their position.
    • Click on Update to save the configuration.

    4. View users in waitlist

    Step 1: Navigate to 'Live view'

    • On the admin panel, navigate to Insights > Live view.

    Step 2: Locate the user icon

    • In the top-right corner of the dashboard, locate the 'Waitlist' card.
    • The number next to it indicates how many people are currently in the waitlist for the selected days and zone.

    Step 3: View waitlist details

    • If the number is greater than 0, mouse over the card to view the list of users currently in the waitlist.
