How to Assign a Permanent Space
Assigning a permanent space in Ronspot ensures that a specific desk or parking spot is reserved exclusively for a particular employee on a recurring basis.
Step 1: Access the Scheduler
- Log in to the Ronspot admin panel.
- Navigate to
Scheduler
.
Step 2: Select the Zone
- In the top-right corner of the Scheduler page, select the zone where you want to assign a permanent space.
- Once selected, you will see a timetable displaying the weekdays and the available spaces for that zone.
Note: Permanent assignments are not supported for hourly spots.
Step 3: Assign a Space
- Click on the
+
Icon:- Locate the specific day and space you want to assign permanently to a user.
- After selecting the cell, click on the
+
icon to begin the assignment process.
- Select the User:
- A search box will appear. Type the first three letters of the employee’s name you wish to assign to this space.
- Choose the correct employee from the dropdown list that appears.
Note: If the employee does not appear in the search box, ensure that they have access to the selected zone and do not have another spot assigned within that zone.
- Save the Assignment:
- Click the tick button to save the assignment.
- Please note that it may take a few seconds for the recurring bookings to be created.
Step 4: Delete a Scheduled Booking
- If you need to delete a scheduled booking, simply click on the
-
icon next to the user’s name in the timetable cell.
Tips for Efficient Scheduling
- Assigning the Same Spot for Multiple Days:
- If you want to assign the same spot to the same user from Monday to Friday, toggle the
Edit all weekdays
option toYes
at the top of the page. - This will allow you to apply the assignment across all weekdays with a single action, saving time.
- If you want to assign the same spot to the same user from Monday to Friday, toggle the
- Bi-Weekly Configurations:
- If you need to create a different schedule every two weeks, toggle the
Edit both weeks together
option toYes
. - This will display a second timetable below the first, allowing you to configure a Week 1 and Week 2 schedule separately.
