How to check in on Ronspot
To ensure accurate attendance and space usage, Ronspot offers multiple ways for users to check in when arriving at the office.
Depending on your company’s settings, check-in can happen automatically or require manual action through the app. Your organisation will inform you which check-in method(s) is active. Here’s a breakdown of all available options and how to use them:
1. Wi-Fi check-in
Prerequisite: Wi-Fi check-in is only available on the mobile app, and requires Ronspot version 13.0 or higher.
If your company has enabled Wi-Fi-based check-in, follow these steps to activate it on your device:

Open the Profile tab in the Ronspot app

Enable the option Allow check-in with Wi-Fi

Grant location permissions when prompted (this is required to verify your network connection)

Connect your phone to your company’s official Wi-Fi network
Once connected, the app will check you in automatically when you enter the building—no need to open the app or press any buttons.
2. Access control check-in
Prerequisite: Your company must first set up an access control integration that supports check-in.
Some companies use building access systems—such as badge readers or license plate recognition—to trigger check-in automatically. If this is enabled:

Simply scan your access card at the designated reader when entering the premises

or drive through a monitored entry gate if your vehicle is registered
That’s it! Your check-in will be recorded automatically in Ronspot—there’s no need to open the app or take any further action.
3. QR code check-in
Prerequisite: QR code check-in is only available on the mobile app, as it requires access to your device’s camera to scan the QR codes.
If QR code check-in is enabled, you can manually check in by scanning a code at your desk or building entrance. To check in by scanning a QR code:

Go to the Home tab in the app

Tap the
Check in
button -
Grant camera access if prompted

Scan the QR code displayed at your desk or entrance using your phone’s camera
Once scanned, your check-in is instantly confirmed in the system.
4. Manual press check-in
For the simplest manual option, you can check in by pressing a button in the app. If enabled:
- Open the Home tab in the app
- Tap the
Check in
button
5. Check-out
When you leave the office, you can choose to check out by tapping the Check out
button in the app. This does not cancel your booking. It simply logs that you’ve left the building for the day.
6. Troubleshooting

QR code not scanning: Ensure the room is well-lit and that the QR code is fully visible, with all four corners intact and undamaged.

'You have not booked this space': Double-check that you are scanning the correct QR code, which should be associated with the spot you have booked.
- Check-in button not visible: Reach out to your company administrator to verify if check-in is enabled.
