How to Set Booking Priorities

Control how far in advance different groups of users can book spaces by setting booking priorities. This ensures that certain groups have earlier or later access to booking than others.

Step 1: Access 'Group Settings'

Step 2: Select or Create a Group

Step 3: Set Advance Booking Limits

  • Configure Available Days:

    • In the group settings, locate the field labeled Available Days.
    • Set the number of days in advance that members of this group will be able to book a spot. This determines the booking priority for the group.
  • Click on Update to save your changes.

Group vs. Spot Limits:

  • If the Group Available Days limit (e.g., 7 days) is lower than the Spot Available Days limit (e.g., 14 days), then the Group Available Days limit will take precedence. This means group members will only be able to book up to 7 days in advance, regardless of the spot's availability setting.
  • Conversely, if the Group Available Days limit (e.g., 30 days) is higher than the Spot Available Days limit (e.g., 14 days), then the Spot Available Days limit will take precedence. In this case, group members will be restricted to booking only up to 14 days in advance.

By following these steps, you can manage booking priorities effectively, ensuring that specific groups have appropriate access to booking opportunities based on your organizational policies. This feature helps to optimize space usage and maintain fairness in booking access across different teams or departments.
