How to analyse Ronspot reports
Ronspot Analytics collects workplace usage data from across your organisation and turns it into reports that help you understand how your facilities are being used. By analysing these reports, you can identify usage patterns, understand demand, spot underused or high-demand resources, and make informed decisions about how to optimise your workplace.

1. Barrier activity
This report is available to companies using our GateLIFT integration.
The report provides an overview of all barrier-opening requests made by employees during the selected period.

For each request, you can see the date and time it was made, as well as the outcome, indicating whether the barrier was successfully opened or the request was denied.

The Requests column shows the total number of requests made by each employee. Employees with the highest number of requests are highlighted in red, making it easier to identify unusually high activity.

If the Geofence option is enabled, the Distance column shows how far, in metres, the employee was from the centre of the configured geofence when they sent the barrier-opening request.
2. Booking cancellations
This report provides an overview of all bookings that were cancelled during the selected period, including the date and time of each cancellation.

The Released by column shows who or what initiated the cancellation. For example, User means the booking was cancelled by the employee, Administrator means it was cancelled by an administrator, and Auto-release means the booking was automatically released by the system.

The Cancellation period column shows how far in advance the booking was cancelled in relation to the scheduled booking time. The results are colour-coded to make cancellation patterns easier to identify. Same-day cancellations, such as the same morning or afternoon, are shown in red. Cancellations made 1 day in advance are shown in orange, while cancellations made 2 or more days in advance are shown in green.

The Rebooked column indicates whether the space was booked by another user after the original booking was cancelled. This can help you understand whether cancelled spaces were subsequently made available and used by another employee.

The Within date range column shows the total number of bookings cancelled by each employee during the selected reporting period, helping you identify employees with frequent cancellations.
3. Booking forecast
This report provides an overview of the percentage of spaces already booked for the upcoming weeks, helping you anticipate demand and identify busy days in advance.
Each row represents a day and shows the total number of spaces available, the number of spaces already booked, and the percentage of available capacity that has been booked.
This report can help you quickly identify days with high or low booking demand and understand how your available capacity is filling up over the coming weeks.
4. Booking patterns
This report shows the days of the week each employee typically comes to the office.

Based on the selected date range, you can see how many bookings each employee has made for Monday, Tuesday, Wednesday, and so on, as well as the total number of bookings made during the selected period. This makes it easy to compare booking volumes across employees and identify individual booking patterns, including which days they are most likely to come into the office.
- The Booking activity column compares the number of working days in the selected date range, excluding office closure days, with the number of days the employee made a booking.
- If the employee booked between 66% and 100% of available working days, their activity is shown as High with a green background.
- Between 33% and 66% is shown as Medium with an orange background, while between 0% and 33% is shown as Low with a red background.
- The Favourite space column shows the space most frequently booked by the employee during the selected date range.
5. Booking times
This report displays a 24-hour graph, with bars representing the number of bookings made during each hour of the day. This helps identify the times when employees typically book their spaces in Ronspot.
The report can be used to identify high-volume booking periods and understand booking behaviour throughout the day. It can also help ensure that employees are making bookings during appropriate working hours rather than during their personal time.
6. Credit usage
This report displays a graph with two bars for each day: blue represents bookings made without credits, while yellow represents bookings made using credits.
In general, bookings that do not require credits are associated with lower-demand days, such as Fridays, or last-minute bookings made when space is still available.
This report helps you understand how employees are using their credits, identify which days have the highest credit usage, and compare credit usage with overall booking demand.
7. Emergency roles
To use this report, you first need to create Emergency roles and assign them to the relevant employees, such as Fire warden or First aider.
This health and safety report helps ensure that employees with specific emergency responsibilities are expected to be on site when needed.

For each configured emergency role, the report shows how many employees assigned to that role had a booking and were therefore expected to be on site.

It also shows how many had no booking and were therefore expected to be away from the office.
This makes it easy to identify days when there may not be enough employees with the required emergency roles on site.
8. Meeting room usage
Similar to the Occupancy levels report, but focused specifically on meeting rooms, this report shows how meeting rooms are being used across your workplace.

For each day and meeting room, you can see the total number of hours available to book, the number of hours actually reserved, and the overall occupancy rate.

The occupancy rate is colour-coded to make usage levels easy to identify, with green indicating low occupancy and red indicating high occupancy.

You can click on the Reserved time column to open a pop-up with more details about the meetings booked for that room.
9. Missed bookings
To use this report, you need to enable check-in for your zones or use the Unused space? functionality available to administrators in the Live View.
This report shows bookings that required check-in but were not checked into, as well as spaces that were manually reported as unused by an administrator. If an employee has not checked in by the end of the day, their booking will be added to this report.

The Reason column explains why each booking appears in the report, for example, because the employee did not check in or because the space was reported as unused by an administrator.

The Within date range column shows how many times each employee missed a check-in during the selected period.

Below the grid, you can see the top 10 employees with the most missed bookings during the selected period. This helps identify employees who frequently book a space but do not use their booking.
- The additional graph shows the number of missed bookings for each day, making it easy to identify patterns and days with a higher number of no-shows.
10. Occupancy levels
Similar to the Meeting room usage report, but focused specifically on desks and parking spaces, this report shows how your spaces are being used across your workplace.

For each day and zone, you can see the total number of spaces available to book, the number of spaces actually booked by booking type, including pre-booked by employees, scheduled by administrators, and walk-ins for ghost arrivals, as well as the overall occupancy rate.

The occupancy rate is colour-coded to make usage levels easy to identify, with green indicating low occupancy and red indicating high occupancy.
11. Office attendance
To use this report, you need to enable check-in for your zones.
This report shows when your employees have checked in and checked out, providing a clear record of when employees arrive at and leave the office.

The Check-in column shows the exact time the employee checked in. If the same employee checks in multiple times on the same day, each check-in is displayed on a separate row.

The Method column shows the method used to check in, based on your zone settings, such as Wi-Fi, Ethernet/Network, Access Control, QR Code, or Manual check-in.

The Within date range column shows how many times each employee checked in during the selected period, allowing you to compare office attendance across employees and identify those who come to the office most or least frequently.
12. Parking violations
This report tracks all parking violations reported by employees, helping you identify users who repeatedly park in the wrong space.

Each violation is displayed on a separate row, with details about the employee who reported the violation and when it was reported.

The Outcome column shows whether the issue was resolved. A green background indicates Resolved, meaning the employee who reported the violation was able to get an alternative parking space. A red background indicates Unresolved, meaning no alternative space was available at the time.

The Space taken by column identifies the person who parked in the wrong space. When a violation is reported, the employee enters the vehicle registration number. If that registration number is linked to an employee, the corresponding employee is displayed in this column. If no matching employee is found, the vehicle registration number is displayed instead.

The Within date range column shows how many times the employee parked in the wrong space during the selected period, helping you identify repeated parking violations.

Below the grid, the Top 10 reported employees table highlights the employees with the most reported parking violations during the selected period, making it easier to identify recurring issues.

The additional graph shows the number of parking violations reported each day during the selected period, helping you identify specific days with a higher number of parking issues.
13. Past bookings
This report tracks all past bookings made by employees and provides detailed information about each booking, including the date, time, space booked, and employee.

This report is particularly useful for auditing your workplace and reviewing who had a booking and was expected to be present on a specific date.

A wide range of filters is available, including zone, employee, group, space, and date, allowing you to narrow down the results and find specific bookings.
- The Within date range column shows the total number of bookings made by each employee during the selected period.
14. Sensor heatmap
This report is available to companies using our desk sensor integration.
This report displays your zone map with a colour-coded circle on each space, allowing you to quickly visualise how frequently each space was booked during the selected date range.
The size and colour of each circle are based on the number of bookings for that space. This makes it easy to identify your most and least popular spaces and understand how different areas of your workplace are being used.
